Case Study
One institute, one system, everything a language school actually needs to run enrolment, money, and paperwork.
What Is It
Wordsworth Language Centre (WWLC) is a language institute in Malaysia (wordsworth.edu.my) that, like most schools its size, used to run admissions, fee collection, and staff commissions across spreadsheets and paper files. Tech Vision Era designed and built a bespoke CRM to replace that with one system: a purpose-built platform that handles a student's entire journey from first enquiry to completed enrolment, tracks every fee and payment, calculates consultant commissions automatically, and produces the institute's official paperwork with its own branding.
The system is not a generic CRM configured for a school. It was built around how a language institute specifically operates, package and course selection, admin and visa fees, discounts, staged payments, and a commission structure tied to consultants and agents, because that workflow doesn't exist in an off-the-shelf sales CRM.
What It Handles
Full Student Lifecycle
Enrolment, package and course selection, fee calculation (admin fees, course and book fees, visa handling for international students, discounts), and payment tracking through to completion, all in one record per student.
Commission Tracking & Leaderboard
Consultant and agent commissions are calculated automatically as payments are recorded, with a live leaderboard so consultants can see their own standing against the team.
Real Profit & Loss Reporting
Management gets a true month-by-month financial picture, because revenue is recognised only once a payment actually clears, not the moment it's invoiced.
Official Document Generation
Offer letters, invoices, and receipts are produced automatically with the institute's own branding, official stamp, and director's signature, styled to match its existing paperwork.
Role-Based Access
Admin staff, reception, consultants, and marketing each see exactly what their job needs, and nothing more.
Mobile-Friendly Interface
Designed so front-desk and consultant staff can use it comfortably on a phone or tablet, not just a desktop at a back-office computer.
Why a Custom System, Not Off-the-Shelf
Generic CRMs are built around a general sales pipeline: a lead, a deal, a close. A language institute's admissions process doesn't map cleanly onto that. It involves package and course selection, layered fees (admin, course, books, and visa handling for international students), discounts applied case by case, payments that arrive in stages, and commissions owed to the consultant or agent who brought the student in, none of which a stock CRM template models out of the box.
Building the system from scratch meant WWLC's actual process could be encoded directly: how a fee is calculated, when a commission is earned, what a receipt needs to look like with the institute's own stamp and signature, and who on staff should be able to see what. The result is a system the staff can use the way they already work, instead of a workflow bent to fit someone else's CRM.
Where It Stands Today
The CRM is live in production at wwlc.wordsworth.edu.my and used daily by Wordsworth's own staff, for real students, real payments, and real institutional documents. It replaced manual, error-prone spreadsheet tracking with one accurate system covering enrolment, money, commissions, and paperwork, built specifically around how a language institute actually operates, not adapted from a generic CRM template.
